TERMS & CONDITIONS – HIRE & STYLING SERVICES

By paying a deposit or accepting a quote, the client agrees to the following Terms & Conditions.

1. BOOKINGS & DEPOSITS

  • All bookings require a non-refundable deposit of 30% to secure the date.

  • The remaining balance is due 7 days prior to the event.

  • No setup will occur unless full payment has been received.

  • Dates are not held without a deposit.

2. CANCELLATIONS & POSTPONEMENTS

  • Deposits are non-refundable under any circumstance, including change of mind, weather, or illness.

  • If you cancel:

    • 7–14 days prior: 50% of total package is payable

    • Less than 7 days prior: 100% of the balance is payable

  • Date changes are subject to availability and may incur an administration fee.

3. SETUP & PACK-DOWN ONLY (NO EVENT SUPERVISION)

  • Toast & Host Events provides setup and pack-down only.

  • We do not remain onsite during the event unless separately agreed in writing.

  • Clients are responsible for all equipment once setup is complete until pack-down.

4. ACCESS & VENUE RESPONSIBILITY

  • Client must ensure clear access to the venue for setup and pack-down.

  • Set-up times will be strictly adhered to as agreed.

  • Additional charges may apply for:

    • Stairs

    • Long carry distances

    • Difficult access

    • After-hours pack-down

  • Venue hire and permits are the client’s responsibility unless expressly included in writing.

  • If Toast & Host sources the venue, a venue sourcing fee applies.

5. WEATHER (OUTDOOR EVENTS)

  • For outdoor events, clients accept full risk of weather conditions.

  • No refunds will be given due to rain, wind, heat, or poor weather.

  • A sheltered or backup area is strongly recommended.

  • Unsafe weather may require immediate pack-down to prevent damage.

6. DAMAGE, LOSS & CLEANING

  • The client is responsible for all hired items from setup to pack-down.

  • Any damaged, lost, or stolen items will be charged at full replacement cost.

  • A refundable bond may apply to selected items (e.g. light-up numbers, arches with shelves, jumping castles, furnishings).

  • Excessive cleaning (food, mud, stains, smoke damage, wax etc.) may incur a cleaning fee.

7. SAFETY & USE OF EQUIPMENT

  • All hired equipment is for decorative purposes only unless otherwise stated.

  • Children must be supervised at all times around styling structures.

  • Clients agree not to move, climb on, or modify any setup.

  • Toast & Host Events is not liable for injury caused by misuse of equipment.

8. FOOD & CATERING

  • Food is prepared in a domestic kitchen unless otherwise agreed.

  • Clients must notify of any dietary requirements or allergies at least 7 days prior.

  • We do not guarantee an allergen-free environment.

  • Once food has been delivered/set up, it becomes the client’s responsibility.

  • No refunds will be issued for unused food.

9. CLIENT-SUPPLIED ITEMS

  • Toast & Host Events accepts no responsibility for damage to items supplied by the client.

  • We are not responsible for lost or broken client decor.

10. PHOTOS & MARKETING

  • Toast & Host Events may photograph setups for promotional use.

  • Clients who do not wish their event to be used for marketing must notify us in writing prior to the event.

11. FORCE MAJEURE

  • Toast & Host Events is not liable for failure to perform due to circumstances beyond our control, including but not limited to:

    • Natural disasters

    • Extreme weather

    • Government restrictions

    • Illness or injury

  • In such cases, we will attempt to reschedule where possible.

12. PRICE CHANGES

  • All quotes are valid for 7 days only.

  • Prices may change outside this period.

  • Once a deposit is paid, pricing is locked in.

14. LIABILITY

  • Toast & Host Events is not liable for:

    • Venue issues

    • Power supply failures

    • Weather impacts

    • Guest behavior

    • Theft or vandalism by third parties

  • Liability is limited to the value of the hire/services provided.

15. ACCEPTANCE OF TERMS

By paying the deposit or confirming your booking in writing, you acknowledge that you:

  • Have read and understood these Terms & Conditions

  • Agree to be bound by them

  • Accept full responsibility during the hire period
